Executive Director is seeking a ‘jack of all trades’ Administrative Assistant to join their team. This is a great opportunity to use your writing skills and creativity as you assist in sharing the mission with key leaders.  You will have the freedom to work autonomously as you help support a great cause.

Responsibilities

  • Schedule and coordinate meetings and appointments for the Executive Director and manage the ED’s calendar
  • Make travel arrangements such as booking flights, cars, and making hotel and restaurant reservations.
  • Plan and coordinate Board meetings and take detailed minutes
  • Develop and improve administrative processes, standards and procedures
  • Organize and schedule appointments
  • Prepare and modify correspondence, reports, presentations, memos and emails
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a paper and electronic filing and organization systems
  • Invoice and membership management
  • Update and maintain office policies and procedures
  • Maintain contact lists
  • Provide general support to staff
  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
  • Other duties as assigned
  • Update association web site with editing software. No programming skills needed
  • Create online newsletters from template

Requirement

  • High School diploma; Bachelor’s Degree preferred
  • Minimum 5 years of previous administrative assistant experience
  • Excellent organizational and time management skills
  • Proficient computer skills – Windows, Microsoft Office, Excel PowerPoint
  • Superior written and verbal communication skills
  • Ability to work both independently and collaboratively with others
  • Commitment to confidentiality and demonstrating professionalism at all times
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Strong organizational skills with the ability to multi-task
  • Capacity to learn new software programs/tools
  • Ability to us web site editing applications
  • Ability to utilize newsletter creation
