Leading global investment management firm is in search of a skilled assistant to manage the schedule and administrative responsibilities of the Managing Partner and 2 Investment Partners. You will also oversee the office functions as well as partner with Finance Manager to provide accounting support using Expensify. Strong communications skills, confidentiality and a reliable liaison to key stakeholders internally and externally. You must enjoy working in a fast-paced environment with the flexibility to adjust to shifting priorities, embracing technical challenges and providing creative solutions.

Responsibilities

  • Coordinate calendars, schedule meetings, resolve calendar conflicts proactively on behalf of Managing Partner and 2 Partners
  • Arrange domestic and international travel including hotel, flight, and transportation
  • Coordinate conference calls, lunches, & on and offsite meetings
  • Prepare, review, and submit monthly expense reports
  • Assist in small events and work alongside other team members to plan and execute larger events
  • Execute various office operations such as ordering supplies, lunches, and office snacks

 Requirements

  • Education: BA/BS degree required
  • 3+ years of professional experience in an Administrative Assistant role, with demonstrated acumen in key responsibilities defined above, and self-directed follow through on key projects as assigned
  • Experience in Financial Services or other high-end professional services environments preferred
  • Ability to multitask and meet challenging deadlines
  • Excellent oral and written communication skills
  • Proficiency with Microsoft Office – Word, PowerPoint, Excel and Outlook
  • Exemplary maturity, discretion, and judgment inside and outside of the workplace
  • Must be fully vaccinated for COVID-19
