Boutique Wealth Management firm is seeking a Bookkeeper/Office Administrative Assistant who will be responsible for overseeing financial payments, maintaining accurate books with daily and monthly financial entries and reconciliations. You will maintain the office standards as well as provide administrative support to senior level executives.   • Bill payment via check, wire and ACH debit for multiple entities (~100-125 payments/mo); review invoices for reasonableness, input into QB’s
  • Maintain vendor login info for downloading and paying various bills, downloading various tax statements
  • Monthly bank and other cash activity reconciliations for several accounts
  • Process quarterly and annual income tax payments either online or by e-check, prepare certified mail/return receipt labels, track mailings
  • Calculate and pay quarterly IL use tax for one individual, Household payroll for multiple homes
  • Work with insurance broker and family to keep insurance policies up to date, setup annual insurance meeting
  • Tracking charitable donations on excel for 5 small foundations, creating ad hoc reports from QB’s as requested
  • Ad hoc requests from family members
  • Sort daily mail, backup on phones
  • Manage paper files and scan/save invoices to the network, special filing for tax-related items
  • Communications with house managers/assistants
  • Small amount of booking travel, Airpass/Concierge renewals
  • Office Maintenance: Order office supplies and other general office duties, including postage meter, fax machine & shredder maintenance
  • Lead or assist with various office projects
  • Maintain Outlook contacts & certain shared Outlook calendars



  • High attention to detail, extremely organized, efficient, team player, independent worker, personable, professional, trustworthy, understands confidentiality
  • Approximately 50% Bookkeeping/50% Administrative
  • QuickBooks required & Excel proficiency
  • Accounting experience required, prefer an associates or other accounting coursework
  • Understands debits and credits
  • Good computer skills/likes technology
