Job Responsibilities:

  • Assists and coordinates overall administrative activities for the office
  • Manage, order and track the kitchen/pantry and stock room inventory
  • Maintain office condition by arranging necessary repairs with the building/external vendors
  • Coordinate with IT department on office equipment including building access cards, video conferencing, phones, headsets, new phone extensions, and voicemail setup
  • Mailing
  • Oversee building safety procedures with the guidance of the HR Manager
  • Coordinate calls and meetings (internal and external) and send out corresponding calendar invitations
  • Set up conference calls, video conferencing and projector equipment, and book conference rooms for events and meetings
  • Prepare conference rooms for meetings, as well as a breakdown of room post-meeting
  • Create and maintain documents in PowerPoint, Excel, and Word
  • Support the reception area (answering phones/seating guests) as needed
  • Provide lunch coverage for the receptionist and serve as a back-up when needed (i.e. sick days, vacation)
  • Assist with new hire onboarding procedures
  • Assist with special projects upon request
  • Provide back-up assistance to other team EAs as needed
