Executive Assistant to Managing Director

Job Responsibilities

  • Arranging and coordinating complex and frequently changing private and commercial travel and logistics for domestic and international flights
  • Organizing, allocating and submitting multiple complex expense reports using Concur
  • Drafting correspondences and thank you letters
  • Arranging ground transportation for meetings, travel, and events
  • Maintaining complex professional and personal calendars by prioritizing meetings, meeting requests, events, and calls
  • Screening phone calls, effectively taking messages and interacting with people across all organizational levels in a professional manner
  • Ability to coordinate events, such as advisory board meetings and annual investors meeting
  • Assist in entering and updating information and contacts to multiple databases
  • Managing and maintaining an organized and easy to use the filing system

  • An ability to work well under pressure and in a stressful, fast-paced environment
  • A flexible individual who is able to adapt to unexpected events and prioritize and multi-task them efficiently
  • Ability to be discreet and be trusted with critical and confidential information
  • Exhibits good judgment in all aspects of the role
  • Expense reporting software Concur
  • Microsoft Office applications – Word, Excel, PowerPoint and mail merges
  • Microsoft Outlook and general email
  • Adobe Acrobat or other document editing programs
  • 10+ years of executive assistant experience
  • College degree
