Job Responsibilities

Receptionist

  • Greet and assist guests upon arrival
  • Manage incoming calls to the main line and forward or take messages when appropriate
  • Mail
  • Prepare and ship packages, certified mailings, and messengers
  • Accept and sign for packages
  • Distribute mail weekly and keep mail cart current
  • General housekeeping – keep common areas tidy, prepare conference rooms for meetings, cater for weekly and small team lunches, make last minute runs for lunch/coffee, coordinate offsite lunch meetings,
  • Manage conference room calendars
  • Enter guests into the building security system

Administrative Assistant

  • Provide administrative support for various senior level employees
  • Manage individual calendars and arrange internal and external meetings
  • Arrange domestic and international travel
  • Compile and submit expense reports
  • Coordinate conferences, subscriptions and memberships to industry events
  • Assist in planning and executing team and company events
  • Accounting Support
  • Prepare, compile, review and mail capital call distribution notices
  • Process certified mailings
  • Bank account setup administration
  • Deposit checks
  • Entry level accounts payable work
  • Credit card reconciliation for Corporate Accounting
  • Assist with the filing and mailing of annual tax forms
  • Assist with entity dissolution process
  • Assist in maintaining tax records: converting historical paper records into electronic files
  • Document Management
  • Executing documents
  • Scanning in documents and sending to appropriate parties when applicable
  • Mail documents or arrange a pickup
  • Format signature blocks
  • Complete special projects as assigned

Job Requirements

  • 2+ years’ of front desk reception and/or administrative experience
  • Bachelor’s degree in related field preferred
  • Ability to independently organize and prioritize workload
  • Excellent typing and advanced computer skills, including competency with Microsoft XP and MS Office
  • Strong self-initiator with the ability to work independently and consistently on multitask assignments in a fast paced environment with minimal direction and supervision
  • Ability to communicate effectively both verbally and in writing
  • Must be able to work well under pressure
  • Superior interpersonal skills are necessary and must be a strong team player who is able to work with diverse personalities
