Mission-driven private equity firm is seeking a talented professional to support the internal operation of the office. In this role you will oversee conference/guest operations, facilities management, assistance and facilitation for investor relations. Exceptional communication skills with the ability to be flexible as you manage the daily activities in this fast-paced environment. Responsibilities

  • Serve as key gatekeeper for the Chicago office including running the front desk and guest services
  • Manage conference rooms including facilitation of meeting room requests, maintaining conference room scheduling tool, supporting hybrid meetings and/or virtual participants, coordinating with external catering teams
  • Lead procurement for the office including managing office supply and office kitchen inventory
  • Serve as liaison with the Office of the Building with regard to security access, office repairs and office maintenance
  • Manage inbound communication and shipments for the firm
  • Support Information Technology function including coordination with the firm’s outside IT advisor, Ascend
  • Support Investor Relations function including scheduling meetings, helping with expense reports, supporting investor conferences, assist with fundraising travel plans and investor meetings (Annual Meeting & Limited Partner Advisory Council meetings)
  • Reciprocal cross team coverage with EA team members where needed

  • An individual with the ability to multi-task, prioritize and execute tasks in a high-pressure, fast paced environment while maintaining and projecting ‘grace under pressure’
  • Solid analytical and communication skills
  • Strong technology skills
  • Substantial experience as an Executive Assistant within the financial services sector preferred with heavy calendar experience
