Start-up real estate investment firm based launched by industry veterans are hiring an Executive Assistant who will be directly responsible for facilitating the smooth functioning of the office and providing critical support for the CEO and the Chairman, along with senior and junior investment professionals.

As the Chief of Staff, you will work cross-functionally with all team members for complete and seamless support and on regular/special projects such as preparation/updating of marketing and investor materials, event planning and website updating.  The ideal candidate must work collaboratively and effectively with team members at all levels and be comfortable with significant external contact with investors and high- level executives.  The Chief of Staff must be a well-organized, detail-oriented, tech-savvy, personable, upbeat self-starter who can accomplish most tasks independently and help identify additional projects and company needs.

 

Responsibilities

  • Coordinate and make travel arrangements directly; creative, anticipatory and rapid response for travel changes
  • Responsibility for balancing cost management with time efficiency and associate experience.
  • Adherence to company travel expense parameters
  • Timely and accurate expense report preparation
  • Maintenance of all corporate and kitchen supplies, as well as ensuring upkeep of the office
  • Maintain accurate and updated calendars
  • Coordinate schedules and obtain/distribute information for meeting attendees
  • Prepare meeting agendas; organize supporting materials; coordinate food service
  • Assist in selection of and spearhead coordination/execution with venues for investor meetings and conferences, including conference registration, meeting rooms, overnight accommodations, food/wine selection, corporate gifts
  • Correspondence, document preparation and attentive proofreading
  • Prepare regular and ad hoc presentation materials in PowerPoint/Word/Excel
  • Maintenance of company/team member databases/files/website; retrieve documents from internal and external sources
  • Update and maintain proprietary investor tracking
  • Working with third party tech support to address any needs as they arise
  • Proactive insurance that all conferencing communications, computers, printers and copiers are accessible, functioning and user friendly
  • Responsibility for all organizational needs not otherwise handled by other members of the team

 

Requirements

  • High levels of professionalism and energy with strong verbal and written communications skills
  • Organized and accurate with strong attention to detail and a proactive problem- solving orientation
  • Demonstrated passion for delivering exceptional client service
  • Comfortable working with many deadlines, timing conflicts and management pressures
  • Can prioritize work, manage interruptions, juggle multiple tasks/relationships in a team-oriented and lean environment
  • Ability to handle highly confidential information in a discreet and disciplined manner
  • Four- year college degree required; a minimum of 5 years comparable experience with significant responsibilities
  • Microsoft Office mastery (Word, Excel, Outlook and PowerPoint); excellent spelling and grammar required
  • Fluency with Internet and ability to learn new software (CRMs, Concur, Constant Contact)
