Executive Assistant, Chicago, IL (Hybrid) Temporary
A long-term temporary opportunity is available for an Executive Assistant to support a C-level executive at a prestigious private equity firm headquartered in Chicago. In this fast-paced, highly confidential environment, you’ll manage complex calendars, coordinate meetings and travel, handle expense reports, and facilitate internal communications.

Responsibilities
- Proactively manage executive calendars by anticipating conflicts and providing solutions before issues arise
- Monitor upcoming meetings and send timely reminders to ensure preparedness
- Maintain detailed notes within calendars, including reminders for travel documents, meeting attendance, and special requirements
- Coordinate both private and commercial travel using internal travel tools and applications
- Collaborate closely with the administrative team for questions and guidance
- Rely on designated team members for escalations or support during the absence of key personnel
- Prepare correspondence letters and documents working from notes, copies, and or drafts, design formats to enhance each document, and review for accuracy.
- Offers personalized support for organizing events/engagements, running errands, managing appointments/calendar, making reservations, answering/returning calls.
- Prepare and process business expense reports.
- Answer and screen phone calls; maintain call list. Monitor/respond to phone calls, emails, and incoming correspondence of both a business and personal nature.
- Sort incoming and outgoing mail.
- Maintain a contact database.
- Coordinate and set up conference calls, including notification to all participants of relevant call information.
Ideal Experience
- Bachelor’s Degree with a minimum of 5 years of solid executive assistant experience.
- Proficient in Microsoft Word, Outlook, and Excel.
