Responsibilities
- Serve visitors by greeting, welcoming, and directing them appropriately.
- Answer, screen, and forward incoming phone calls.
- Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
- Provide accurate information in person and via phone, and via email.
- Receive, sort, and distribute daily mail and deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Order office and kitchen supplies and keep inventory of stock.
- Maintain the conference center calendar.
- Keep updated records of office expenses and costs.
- Perform other clerical receptionist duties such as filing, photocopying, and faxing.
- Support the event team with ad hoc requests.
- Create and maintain documents in PowerPoint, Excel, and Word.
Ideal Experience
- Bachelor’s Degree preferred.
- Strong organizational, communication, time management, and multitasking skills.
- Ability to build positive relationships with vendors, team members, attendees, and stakeholders.
- Exceptional Microsoft Office Suite capabilities.
- Proficiency in Microsoft Office Suite.
- Professional attitude and appearance.
- Ability to be resourceful and proactive when issues arise.
- Customer service attitude.
- Ability to lift and carry up to 50 pounds.
