We are seeking a highly organized, proactive Executive Assistant to support a Managing Director and Strategic Partnerships team. This role serves as a trusted partner, anticipating needs, managing complex priorities, and ensuring seamless execution across a fast-paced, global environment. The ideal candidate is a strategic thinker with exceptional attention to detail, strong judgment, and the ability to build trusted relationships while managing calendars, travel, communications, and key initiatives with professionalism and discretion.

Responsibilities

  • Provide comprehensive, high-level administrative support to the Managing Director and Strategic Partnerships team, serving as a trusted partner by anticipating needs, managing priorities.
  • Own and proactively manage a complex executive calendar, balancing business and personal commitments, prioritizing competing demands, coordinating internal and external meetings, and ensuring optimal use of time across global time zones.
  • Serve as a strategic partner in calendar management by identifying conflicts, anticipating scheduling needs, preparing executive briefings, and providing timely updates, documentation, and recommendations to support effective decision-making.
  • Enhance meeting effectiveness by coordinating agendas, presentations, and supporting materials in advance; ensuring meeting logistics are prepared, tracking follow-up items, and driving accountability for next steps.
  • Act as a key point of contact and gatekeeper for the Strategic Partnerships team, managing incoming requests with professionalism, exercising sound judgment, and building strong relationships with internal stakeholders, clients, and external partners.
  • Provide accurate and detail-oriented administrative support, including preparation of reports, presentations, correspondence, and business documents while maintaining a high level of confidentiality and discretion.
  • Coordinate complex domestic and international travel arrangements, including flights, accommodations, ground transportation, visas, itineraries, and meeting schedules, while considering executive preferences and maximizing efficiency.
  • Anticipate and prepare for frequent client visits, business trips, and executive engagements by coordinating logistics, materials, schedules, and follow-up activities to ensure successful outcomes.
  • Proactively monitor deadlines, commitments, and action items, following up with key stakeholders to ensure timely completion and keeping leadership informed of progress and potential issues.
  • Support the Managing Directors with special projects, ad hoc requests, research, and operational initiatives requiring strong organizational skills, attention to detail, and the ability to manage shifting priorities.
  • Partner closely with the broader Administrative Team to coordinate workflows, share best practices, and provide consistent support across the organization

Ideal Experience

  • Bachelor’s Degree required.
  • 2–4+ years of Executive Assistant experience supporting senior executives, investment professionals, or leadership teams.
  • Proven ability to manage complex calendars, coordinate across in-person and remote teams, and optimize executive time.
  • Highly organized, proactive, and detail-oriented with the ability to prioritize and anticipate needs in a fast-paced environment.
  • Exceptional written and verbal communication skills with the ability to interact confidently with stakeholders.
  • Demonstrated discretion and professionalism when handling confidential information and high-stakes situations.
  • Flexible and adaptable, with the ability to adjust priorities, respond with urgency, and support occasional after-hours needs.
  • Proficient in Microsoft Office Suite, Concur or expense platforms, and travel management systems.
