  • Main support for Business Unit Head
  • Additional support to Business Unit COO & onsite support for Head of Research
  • Wider team support within the business
  • Onboarding of New Hires across all offices
  • Management calendar and handle scheduling of all meetings and appointments
  • Answer phones and retrieve voicemails daily. Ensure that the phone covered at all times
  • Responsible for managing all business correspondence
  • Manage business contacts by updating/adding to contact database
  • Organize and arrange both onsite and offsite meetings and other event planning duties
  • Handle office management duties, including supply inventory and purchasing, guest registration and facilitating maintenance requests with building management
  • Arrange travel needs through internal travel department and create complete travel itineraries for all trips
  • Management of broader EA team (2/3 reports performance reviews, check‐ins, bi‐weekly meetings)
  • Main POC for all items relating to Chicago (conference rooms, visitor seats, etc)
  • Manage, organize and maintain accurate files
  • Act as liaison between Executive and business colleagues
  • Additional Ad Hoc personal tasks for BUH
  • Perform other duties as assigned


  • Experienced professional with a minimum of 5 years of experience, preferably with both executive assistant and personal assistant experience
  • Excellent English, grammar, written and oral communication skills
  • Proven record of successful problem solving
  • Superior organizational skills and record‐keeping, and strong attention to detail
  • Excellent interpersonal skills, positive attitude, and high energy level
  • Requires some flexibility with work schedule
  • Adaptable, flexible to changes and the ability to work in a fast‐paced environment
  • Proficiency in Microsoft Windows, Excel, PowerPoint, and related software
  • Bachelor’s degree required
